You start by easily uploading your suppliers’ contact details to TraceIT using a simple CSV file. Information such as business identification number, name, and email is used to personalise the data request and reduce the risk of the email ending up in the spam folder. If your supplier list changes, TraceIT ensures that requests are not sent to irrelevant recipients.
The platform also allows you to organise contacts by sub-departments, so each team can manage its own supplier information without affecting others.
With TraceIT, you can request data from your suppliers in three simple steps:
Step 1: Select the harvest year and the relevant data you wish to request, and add a standard message to suppliers that can be reused or tailored for each request.
Step 2: Choose which suppliers should receive the data request – this can be all suppliers, selected ones, or only those from specific sub-departments.
Step 3: Review your selections and send the data request with a single click.
Once the request is sent, suppliers receive an email featuring your company’s name and logo, making it recognisable and trustworthy. The supplier retrieves data from their field management system and identifies themselves using their business identification number. The requested field data is presented to the supplier in a user-friendly format. Only the specific data you have requested is shown.
The supplier quality assures their data in their own field management systems and refreshes the TraceIT homepage before submitting the data. By submission, the supplier simultaneously gives consent for you to use it. This means that every data transaction comply with the General Data Protection Regulations and TraceIT handles this documentation.
In TraceIT, you now have access to the raw data from all suppliers who have responded to your requests. The data can be exported in Excel or CSV format (including field polygons), allowing you to share it with third parties at exactly the level of detail you need. Your data can also be enriched with calculations such as climate footprint per hectare or per product unit.
TraceIT gives you a full overview of your data requests. You can see which data has been requested and which suppliers have yet to respond. With just two clicks, you can send a reminder to the outstanding suppliers. Everything is centralised in one place, so you can easily keep track without managing it manually.
With TraceIT, you can quickly and easily share your farm data with the companies you supply. You are only shown the data being requested, making it simple to forward the information – without needing to gather it yourself or involve your advisor.
For each data request, you decide who gets access to your information. TraceIT ensures you retain full ownership of your farm data, and that all transfers comply with current data protection regulations.
